Summary: Privacy is the foundation of our service. We use a self-hosted AI model and absolutely no document data is stored. The only data we store is your login credentials. Your data is never shared with any third party.

This Privacy Policy explains how Rachayita AI Labs ("we", "our", "us") collects, uses, and protects information when you use the eOffice Notes Summarizer browser extension ("Extension") and associated services.
By using the Extension, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
2.1 Account Information
When you register for an account, we collect:
- Email address - For account identification and communication
- Name - For personalization
- Password - Stored securely using bcrypt encryption (we cannot see your password)
- Department and Designation (optional) - For organizational context
2.2 Document Content
When you use the summarization features, we temporarily process:
- eOffice document content (notes, text from PDF files)
- Your queries and questions about documents
Important: Document content is processed in real-time for AI summarization and is never stored. It is immediately discarded after processing. We do not log or retain any document content, queries, or generated summaries. One exception: if you explicitly save an AI policy suggestion for a CM-Helpline complaint, that complaint text and suggestion are retained for up to 30 days (visible only to you), then deleted automatically.
2.3 Usage Data
We collect anonymous usage statistics:
- Number of queries made per day
- Token counts (for rate limiting)
- Response times (for performance monitoring)

4. Third-Party Services & AI Processing
No Third-Party AI Services: We use self-hosted large language models running entirely on our own infrastructure. Your document content is never sent to any external or third-party service. No document data is stored — it is processed in memory and immediately discarded. One exception: the optional Research (web search) button sends only your typed search query (max 500 characters, never document content) to an external search provider to fetch live results — use it only for queries you are comfortable searching the public web for.
Key privacy guarantees of our AI processing:
- Fully self-hosted: The AI model runs on our own infrastructure — no external API calls are made
- No data sharing: Your data is not shared with, sold to, or accessible by any third party (except the optional web-search queries described above)
- Zero data storage: No document content, queries, or summaries are stored anywhere — everything is processed in memory and immediately discarded
- No model training: Your data is never used to train or improve any AI model
5. Data Storage and Security
We store: your login credentials (email, name, hashed password), optional file reminders (file number and due date only — no file content), aggregate usage counts, and any CM-Helpline policy suggestions you explicitly save (30-day retention). No eOffice document content, queries, or AI-generated summaries are stored.

- Passwords are encrypted using bcrypt hashing (we cannot see your password)
- All data transmission uses HTTPS encryption
- JWT tokens are used for secure authentication
- All document processing happens in memory and nothing is written to disk
6. Data Retention
- Login credentials: Retained until you delete your account
- Document content: Never retained — processed in real-time and immediately discarded
- Queries & summaries: Never retained — not stored or logged
- File reminders: File number and due date only; deleted automatically 30 days after the due date
- Saved CM-Helpline policy suggestions: Retained up to 30 days, then deleted automatically

- Access your personal data

- Delete your account and associated data
- Export your usage data

8. Data Sharing

- Send your data to any third-party AI service or external API

- Transfer data for purposes unrelated to document summarization
- Track your activity across other apps or websites
9. Children's Privacy
This Extension is intended for government employees and is not directed at children under 13. We do not knowingly collect data from children.
10. Apple App Store Compliance
In accordance with Apple's App Store guidelines, we disclose the following:
- Data Collection: We collect your email address, name, and optional department/designation for account functionality. Document content is processed transiently and never stored.
- Data Not Linked to You: Usage statistics (query counts, response times) are collected in aggregate and are not linked to your identity.
- Data Not Used to Track You: We do not track you across apps or websites owned by other companies for advertising or analytics purposes.
- No Third-Party Sharing: We do not share any data with third parties for tracking, advertising, or data brokerage.
- Data Deletion: You may request deletion of your account and all associated data at any time by contacting us.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of significant changes via email or through the Extension. Continued use after changes constitutes acceptance.
